Context & objectives

Ajinomoto Foods Europe, a subsidiary of the Asia-based Ajinomoto group and world leader in Japanese frozen foods, has decided to migrate its office data (hosted on file servers) to Microsoft 365. This migration revealed the need to reorganise the data and put governance in place.

Business challenge

This digital transformation project had a number of objectives:

  • Protect data
  • Align data governance practices with current standards
  • Improve user data management practices
  • Reorganise data in the Microsoft 365 SharePoint/Teams environment.

Given that this project was led by the company’s IT department, it was crucial to make them aware of the implications our decisions would have for the business.

Response & method
  • Study of the existing system: identifying data by mapping, identifying sensitive data and how it is secured. Identification of requirements in terms of data sharing, collaboration and automation;
  • Implementation of policies to optimise data management, secure sensitive data, ensure that access is properly managed and that backups ensure data reliability and availability;
  • Carrying out a PoC to demonstrate the future organisation, the benefits of migrating to Microsoft365 and highlight new data management practices (sharing, security, access, collaboration, filing, etc.);
  • Planning the transition to M365 by drawing up an M365 migration plan and a project plan to ensure data governance in line with the policies drawn up and the achievement of the project’s objectives.
Key success factors
  • An exhaustive mapping of data and its location to understand where critical information is located and how it is used;
  • An in-depth analysis and clear expression of business needs to ensure that the project meets the expectations and requirements of the various stakeholders;
  • A better understanding of Microsoft 365 best practice and the implications of such a project;
  • An ability to link policy elements to concrete business actions;
  • An understanding on the part of the customer that this is first and foremost a business project and not an IT project;
  • The ability to establish a clear and well-defined governance body capable of following our recommendations and implementing the rules set out in the policies.
